Q&A on Joint Usage Research

Overall

Q1-1: What is the difference between short-term joint research projects and workshops?

A1-1: The workshops aim to promote research activities through information exchange and research exchange, mainly through research presentations. On the other hand, in the short-term joint research, a small number of people gather for a short period of time to proceed with specific research, and conduct actual discussions and/or calculations to carry out joint research. Research presentations are a part of discussions among participants and are not the main part.

Q1-2: Do all participants have to be present at the entire days of the short-term joint research?

A1-2: It would be desirable for all participants to participate all days, but we understand it may be difficult for participants especially from companies to do so. Therefore, it is acceptable for some participants to participate only in the set up of the research or in the final summary. Please make sure that such participants can contribute to the research activities in a substantive manner, not just in a formal manner.

Q1-3: Is it possible to divide the short-term joint research into several periods, such as two days in June, three days in November?

A1-3: The schedule is flexible and can be divided into several periods within the budget.

Q1-4: The research program was adopted this year. Is it possible to apply for the next year to continue the program?

A1-4: It is possible. For example, after exploratory research using the short-term visiting researcher program, developing the research plan from the short-term joint research project to a workshop is welcome as one way to promote research and industry-academia collaboration. However, it is required that you describe in detail how you will develop your research plan in terms of academic aspects and industry-academia collaboration strategies based on the research results of this year.

Q1-5: Does the online type have to be done entirely online?

A1-5: For example, it is possible that everyone does not participates online, but some researchers gather somewhere and the meeting is distributed online. In that case, it is distinguished between Online Type and Hybrid Type which depends on whether the office will support as the same as In-Person Type. The Online Type basically does not provide any administrative support at the venue. The amount of support for the Online Type is set low, since online participation is the main form. Please contact the office for details.

Facilities (venues)

Q2-1: What kinds of facilities are available for joint usage research?

A2-1: The following facilities are available.

Other lecture rooms in the IMI can be used for smaller lectures and meetings. The following facilities are also available for Workshop (I).

Q2-2: Can Workshop (I) be held at the facilities of Kyushu University out of the Ito Campus or those which do not belong to Kyushu University?

A2-2: As stated in the application procedures, we request that workshops be typically held at the facilities in the Ito Campus, Kyushu University. Facilities of Kyushu University out of the Ito Campus can also be used. Only if there is a reasonable reason to allow it, such as the need to link with other events or conferences, the workshop can be held at a facility which does not belong to Kyushu University. If you wish to hold the workshop at such a facility, please contact the office as early as possible in the application preparation stage, as we may not be able to cover the cost of the venue.

Travel Expenses and Honorarium

Q3-1: What procedures are required for travel expenses for invited speakers?

A3-1: The invitation procedure will follow the rules of Kyushu University. The principal investigator should compile the itinerary and data necessary for the invitation and send the information to our office. The office will then take care of the procedures. Please contact the office for details.

Q3-2: Will the research budget cover the travel and accommodation expenses to prepare for workshops?

A3-2: It is possible within the budget. You may include the expenses necessary for preparation in your application. However, there may be cases where the expenses cannot be paid depending on the travel destination or the nature of the work. Please contact the office when preparing your specific plan.

Q3-3: The invited researcher from abroad needs an invitation letter to obtain a visa. What procedures are required?

A3-3: The principal investigator shall prepare the invitation letter. An invitation letter with the name of the IMI Director will be issued if necessary. Please contact the office.

Research Report

Q4-1: What is the publication policy for research reports?

A4-1: The research report will be made public on our website except for personal information after the completion of the research. Disclosure of the report cen be delayed for up to three years.

Q4-2: Will the IMI check the research report before publishing?

A4-2: The IMI will check the report in a general way, but unless there are significant problems, the report will be released as it is. We request that the submitter be responsible for the report as with any academic publications.

Q4-3: Is it possible to cite images or articles from papers for the research report?

A4-3: There will be no problem as long as proper consideration is given to the citations as with regular academic publications.

Proceedings

Q5-1: Do the proceedings, “MI Lecture Notes,” and “Mathematics for Industry Research” need to be peer-reviewed? Can the paper be written in Japanese?

A5-1: We do not require peer review. However, it is possible to make the proceedings peer-reviewed at the discretion of the principal investigator. Please clearly state in the preface that the papers are peer-reviewed in such a case. The papers can be written either in Japanese or in English.

Q5-2: What is “Mathematics for Industry Research” published by the IMI?

A5-2: This is a series of publications mainly aimed at publishing the proceedings of workshop (II) and is an online publication in color with each volume being about 200 pages long. It can be edited after the workshop or published before the workshop by collecting extended abstracts.

Q5-3: What are the conditions and procedures for publishing the proceedings in the “Mathematics for Industry” series published by Springer? How is it different from publishing in “MI Lecture Notes”?

A5-3: “MI Lecture Notes” is published by the IMI, while “Mathematics for Industry” is a commercial publication by Springer. The proceedings published by Springer must be in English and peer-reviewed. They also must be high quality to be commercially published. For more details, please contact the office. For books published so far, please visit the Springer website. Q5-4: Do the proceedings of a workshop always have to be published within the relevant year?

A5-4: As a rule, we request publication within the relevant year, but if the workshop is held in February or March at the end of the fiscal year, it is possible to publish in the next fiscal year. Please consult the office. If the proceedings of Workshop (I) are published in the “Mathematics for Industry” series by Springer, it does not have to be published within the fiscal year.

Short-term Visiting Researcher

Q6-1: What can the funds for short-term visiting researchers be used for? Will the researcher be paid a salary?

A6-1: The funds can be used for the researcher’s travel expenses and accommodation expenses. The budget for joint usage research cannot be used for accompanying students or for inviting other researchers, but it is possible to do so with your own research funds. No salary will be paid to researchers.

Q6-2: Does a short-term researcher have to stay at the IMI for the whole week or two?

A6-2: Please make a research plan so that you can stay in the IMI for a certain period of time. However, in order to conduct research effectively, you may divide the research period into several parts within the budget. Please consult well with researchers at the IMI and other departments of Kyushu University to plan. Please contact the office for details.

Q6-3: What kind of status will be given to short-term visiting researchers?

A6-3: The status of “Short-term Visiting Researcher, Institute of Mathematics for Industry, Kyushu University” will be given. Short-term visiting researchers have free access to the research resources such as internet, libraries, and online journals.
